3. DESCRIPTION OF THE PROCESSING

3.1 Ennova A/S as the data controller

Below we have explained the purposes for our processing of personal data in connection with your use of our website.

3.1.1 The use of Ennova's website
When you use Ennova's website, cookie technologies collect personal data about your behaviour on the website for the purpose of optimizing the website, including data about which browser you use, your operating system and which internet pages you visit.

Personal data about you is also collected in connection with your use of the social media plugins available on the website. These social media plugins make it easier for you to share content from Ennova's website on Facebook, LinkedIn and Twitter. For this kind of processing, Ennova is joint controller with the provider of the third-party cookie(s) in question, which is/are placed on your device in connection with the use of these social media plugins. The joint data responsibility between Ennova and the relevant provider of a social media plugin applies to the collection of and the transfer to the provider of the personal data collected via third-party cookies placed by the provider. Ennova is not responsible for the supplier's further processing of the personal data.

We process your personal data in connection with your use of our website, as described above and as further described in our cookie policy, on the basis of Article 6.1.a GDPR (consent). You can withdraw your consent or change your cookie settings in our cookie policy.

We may share your personal data with our suppliers HubSpot and Itch Marketing, who provide us with technical support and advice in connection with our use of your personal data for marketing purposes.

No personal data is transferred to third countries.

3.1.2 Registration for events
We process your personal data when you register for our webinars, conferences or similar events via our website, including name, title, email address, telephone number, place of work and position. The processing takes place in order to register for the event and to keep in touch with you before, during and after the event.

We process your personal data in connection with your participation in events organized by us on the basis of Article 6.1.b GDPR (fulfilment of a contract), and Article 6.1.f GDPR (legitimate interests), in which our legitimate interest is to administrate events.

We collect your personal data directly from you. In some cases, however, we may also collect your personal data from your employer.

We may share your personal data with our supplier Twentythree, who provide us with technical support.

We store your personal data three years after your participation in one of our events.

3.1.3 Participation in competitions
We process your personal data in connection with your participation in competitions organized by us, including name, title, email address and telephone number. The processing takes place in order to contact you in relation to a competition you have participated in.

We process your personal data in connection with your participation in competitions organized by us on the basis of Article 6.1.f GDPR (legitimate interests), in which our legitimate interest is to inform the participants whether they have won the competition.

We collect your personal data directly from you.

We do not share your data with others.

We keep your personal data until the competition is over and the winner is spotted, after which we delete the data.

3.1.4 Booking of meetings
We process your personal data in connection with your booking of a meeting with one of our employees via our website, including name, title, email address and telephone number.

We process your personal data in connection with booking of meetings on the basis of Article 6.1.f GDPR (legitimate interests), in which our legitimate interest is to meet your request to hold a meeting regarding our services.

We collect your personal data directly from you.

We share your personal data with our supplier HubSpot that serves as the technical platform.

Generally, we store your personal data one year after the agreed meeting has been held. If the meeting gives rise to a lasting customer relationship, we will, however, store your personal data for as long as the customer relationship lasts and five years thereafter.

3.1.5 Marketing
We process your personal data in connection with marketing initiatives, including to be able to target our communication to you.

The targeted communication includes sending out newsletters that you have signed up for and other forms of marketing.

We process personal data about your name, position, email address, telephone number and place of work. We also register the language in which you wish to receive our material.

We process your personal data in connection with the distribution of our newsletters and other forms of marketing on the basis of Article 6.1.f GDPR (legitimate interests), in which our legiti-mate interest is to provide you with marketing that you have indicated your interest in receiving.

The data is collected directly from you.

We may share your personal data with our suppliers HubSpot and Itch Marketing, who provide us with technical support and advice in connection with our use of your personal data for mar-keting purposes.

No personal data is transferred to third countries.

If you have signed up for one or more of our newsletters, we will store your personal data for as long as you wish to receive material from us and for one year thereafter. If you have accept-ed that we process your personal data for the use of other marketing initiatives, we store your personal data so that your data is processed for this purpose.

3.1.6 Optimizing the customer experience
We process your personal data in connection with the evaluation of Ennova's products and ser-vices in order to give our new and existing customers the best possible experience with our products. The processing is based on your written or oral feedback.

We process personal data about your name, position, email address, telephone number and place of work.

We process your personal data in connection with the optimization of the customer experience on the basis of Article 6.1.f GDPR (legitimate interests), in which our legitimate interest is to improve our customers' experience of our products and services.

We do not share your data with others.

We store your personal data for as long as it is necessary for the purpose of optimizing the customer experience, but never longer than three years.

3.1.7 Creating a user on our Platform 
We process your personal data when you register as a user on our Platform, including name, email address and place of work. The processing takes place in order to give you access to our Platform, when it is not possible for you to create a user with your work email. 
We process your personal data on the basis of Article 6.1.b GDPR (fulfilment of a contract), and Article 6.1.f GDPR (legitimate interests), in which our legitimate interest is to give you access to our Platform. 

We process personal data about your name, email address and place of work. 
We may share your personal data with HR at your place of work.  

3.1.8 Participation in Ennova Survey
In some situations, Ennova will provide surveys on our own. Here, Ennova will collect data directly from you. The data that Ennova collects may vary but will typically include name and email address. You will be informed about this before the data is collected. 

The purpose of collecting data from you is to conduct a customer survey or an employee survey in cases where Ennova act as an independent data controller. The purpose thereof is to provide insight and opportunities for improvement of either Ennovas services or Ennova's customers internal affairs. The processing is carried out on the basis of Article 6.1.f GDPR (legitimate interests), but will in few cases be based on consent. In the former case our legitimate interest in processing your data is to prepare a report for our customer, which they can use to improve the experience for their customers or for employees. 

We may share your data with our data processors. 

We store your personal data for as long as it is necessary, but never longer than three years. 

3.1.9 Booking a coaching session  
We process your personal data when you book a coaching session at our platform, including name and email address. The processing takes place in order to give you the possibility to book a coaching session.  

We process your personal data on the basis of Article 6.1.b GDPR (fulfilment of a contract), and Article 6.1.f GDPR (legitimate interests), in which our legitimate interest is to give you the possibility to book a coaching session through our platform. 

We share your personal data with the coach. 

3.1.10 Participation in our user panel We process your personal data when you, as a part of our user panel, give interviews and evaluate our material. The processing takes place in order to receive feedback, which can be used to improve our services. 

We process your personal data on the basis of  Article 6.1.f GDPR (legitimate interests), in which our legitimate interest is to get feedback on our services. 

The data is collected directly from you. We may share your personal data with our data processors. 

 

3.2 ENNOVA A/S AS DATA PROCESSOR


We offer, among other things, employee and customer surveys for private companies and public authorities ("customers"). In these cases, it is our customers who determine the purpose and aids for the processing of personal data, after which we act as a data processor in relation to the customers.

When we act as a data processor in relation to our customers, we comply with any agreement entered on the processing of personal data on behalf of the customer.

If you have participated in an employee or customer survey where we act as a data processor and you contact us in connection with this, you must be aware that we will forward your request to the responsible customer, who will then answer your inquiry.

4. YOUR RIGHTS


You have the following rights:

  • You have the right to request access to, rectification or erasure of your personal data.
  • You also have the right to oppose the processing of your personal data and have the processing of your personal data restricted.
  • If processing of your personal data is based on your consent, you have the right to withdraw your consent at any time. Your withdrawal will not affect the lawfulness of the processing carried out before you withdrew your consent.
  • You have the right to receive your personal data in a structured, commonly used and machine-readable format (data portability).
  • You may always lodge a complaint with a data protection supervisory authority, e.g. The Danish Data Protection Agency.

Furthermore, you have the right to object to processing of your personal data as follows:

  • If processing of your personal data is based on Article 6.1.f GDPR (legitimate interests) - see paragraph 3.1.2, 3.1.3, 3.1.4, 3.1.6 and 3.1.7 - you have the right to object, on grounds relating to your particular situation, at any time to the processing of your personal data.
  • Where your personal data are processed for direct marketing purposes - see paragraph 3.1.5 - you have the right to object at any time to the processing of personal data about you for such marketing.

There may be conditions or limitations on these rights. It is therefore not certain for example you have the right of data portability in the specific case - this depends on the specific circum-stances of the processing activity.
